What is RPA Software?

Robotic Process Automation (RPA) emerged as a breakthrough technology more than 15 years ago. The goal of RPA software was clear from the beginning: to automate repetitive, manual and rule-driven tasks. Think retyping data, filling out forms or processing documents. The first generation of RPA software mimicked human actions – such as mouse clicks and keyboard strokes – but faster, error-free and 24/7.

In those early days, this form of automation was primarily a digital replication of human work. While this already provided organizations with enormous time and cost savings, the intelligence was limited. This classic RPA software was the perfect solution for structured processes, but offered little flexibility.

The power and benefits of classic RPA

The classic form of RPA software remains a rock-solid foundation for process automation and is characterized by a number of tangible benefits:

Limits of the first generation of bots

Yet the first generation of RPA software had obvious limitations. The bots could only perform what was strictly prescribed. Did something change in an application or process? Then a manual adjustment in the RPA software was required.

For unstructured data (such as an anomalous invoice) or unexpected situations, the bots got stuck. Human intervention remained necessary for exceptions and complex decisions. These early RPA solutions were digital assistants, not intelligent colleagues who could learn or think along.

Solid Basis for Modern Automation

Although the technology has since evolved with additions such as Artificial Intelligence (AI) and machine learning, classic RPA software is still the foundation. It taught organizations to take a structured approach to repetitive work and offered immediate measurable benefits.

This first generation of software bots made digital transformation tangible. By reducing workloads and eliminating errors, RPA software opened the door to the advanced, intelligent automation platforms we see today.

Is RPA Software still relevant?

Absolutely. Classic RPA software remains an extremely valuable technology for any organization with recurring, rule-driven processes. The goal is not to replace people, but to empower them. Freeing employees from monotonous work gives them room for creativity, strategy and customer contact.

RPA software is and will continue to be a reliable workhorse in the digital workplace, a proven contributor to the efficiency and quality of your business processes. However, the advancement to Agentic-AI provides yet more opportunities and will define the future.

From RPA to Agentic AI

Where traditional RPA software excels at following strictly prescribed rules, the next generation of automation is already in place: Agentic AI. These are no longer “dumb” software bots, but autonomous, smart agents that can independently pursue goals and make decisions.

An AI agent is not given a step-by-step instruction, but an end goal. For example, “arrange travel for the conference in Berlin.” Then the agent itself can compare flights, book a hotel with good reviews within the budget, synchronize schedules and create an itinerary. It learns from feedback and can deal with unexpected situations, such as a canceled flight. Agentic AI is the proactive, thinking colleague that coordinates complex tasks from start to finish, rather than just performing repetitive subtasks.
