Want to know how we’ve been using AI to enhance the customer experience for years?

“With Pegamento, we found not just a supplier, but a true partner in change. Thanks to their expertise and our joint DevOps approach, we have made great strides in a short time. The technology supports our people so they can focus on where they make a difference: personal contact with entrepreneurs.”

Agentic AI reduces wait times in customer service by independently analyzing, prioritizing and resolving customer queries without human intervention. This intelligent technology works 24/7 and can perform complex tasks that traditional chatbots cannot handle. The result is faster service for customers and more efficient resource allocation for businesses.

What is Agentic AI and how is it different from traditional chatbots?

Agentic AI is an advanced form of artificial intelligence that can independently reason, make decisions and act without pre-programmed scripts. Unlike traditional chatbots, which only respond to specific commands, Agentic AI can apply context understanding and come up with creative solutions to unique customer situations.

Traditional chatbots follow a decision tree with predetermined answers. When a customer asks a question that is not in the script, the bot can only refer to a staff member. Agentic AI, on the other hand, understands the intent behind questions and can interpret variations even if they are worded differently than expected.

The main difference is in autonomy. Agentic AI can take actions independently, such as looking up customer data in various systems, calculating fees, scheduling appointments and executing transactions. This proactive approach eliminates many transfers between systems and employees, directly resulting in shorter wait times.

How does Agentic AI reduce wait times in customer service?

Agentic AI reduces wait times through four core mechanisms: automatic demand recognition, intelligent routing, proactive support and continuous availability. These systems work together to handle customer contact more efficiently than traditional methods.

Automatic question recognition instantly analyzes what customers need, regardless of how they phrase their question. The system recognizes patterns and intentions, eliminating the need for customers to navigate through complex menus. This saves an average of 2-3 minutes per contact.

Intelligent routing ensures that complex queries go directly to the right specialist. Agentic AI assesses not only the topic, but also the urgency and emotional state of the customer. This minimizes inter-departmental call forwarding.

Proactive support means the system can spot problems before customers contact it. By recognizing patterns in customer behavior and system data, Agentic AI can automatically send updates or resolve problems before they escalate. 24/7 availability completely eliminates wait times outside business hours.

What customer queries can Agentic AI solve directly without human intervention?

Agentic AI can handle a wide range of customer queries independently, from simple information questions to complex service requests that touch multiple systems. It goes far beyond traditional FAQ answers by actively performing actions.

Standard service requests that can be fully automated:

  • Look up and change account information (address information, contact preferences)
  • Checking invoice inquiries and payment status
  • Schedule, change or cancel appointments in linked calendars
  • Retrieve product information and availability in real time
  • Initiate returns and generate shipping labels
  • Resetting passwords and restoring account access

More complex tasks that modern Agentic AI can also handle include calculating quotes based on specific customer requirements, analyzing usage patterns to make personalized recommendations and coordinating between different departments for multidisciplinary queries. The system can even recognize emotional nuances and adjust communication style accordingly.

What are the key benefits of Agentic AI for both customers and businesses?

Agentic AI creates mutual benefits by providing customers with faster, consistent service, while companies save costs and can assign employees to more valuable tasks. This win-win situation significantly improves the overall customer experience.

Customer Benefits:

  • Immediate help without waiting times, available 24 hours a day
  • Consistent service without variation in quality between employees
  • No repetition of information in interconnections
  • Faster solutions by accessing all relevant systems simultaneously

Benefits for businesses:

  • Reduced personnel costs due to automation of routine tasks
  • Improved employee satisfaction by focusing on complex, interesting questions
  • Scalability without commensurate increase in staffing requirements
  • Valuable data insights from all customer interactions
  • Higher customer satisfaction through faster and more accurate service

The result is a more efficient organization that can deliver better service at lower cost, while providing customers with a superior experience that increases their loyalty.

How do you successfully implement Agentic AI into your existing customer service?

Successful implementation of Agentic AI requires a phased approach that begins with system integration, followed by training and gradual expansion of functionalities. The key lies in careful preparation and continuous optimization.

Step 1: System integration and data preparation

Connect all relevant systems (CRM, ERP, telephony, e-mail) to the Agentic AI environment. Ensure clean, structured data and set clear access rights for different levels of information.

Step 2: AI model training and testing.

Train the system with historical customer interactions and frequently asked questions. Start with a limited set of scenarios and test thoroughly before expanding. Set up feedback mechanisms to continuously improve the system.

Step 3: Gradual rollout and employee training

Start with simple questions and slowly expand to more complex scenarios. Train employees in working with AI and taking over escalated cases. Provide clear escalation procedures.

Step 4: Monitoring and optimization

Monitor performance continuously and analyze where the system is performing well and where improvement is possible. Use customer feedback to refine AI responses and add new scenarios.

Hospitality is one of my deepest motivations.
Not surprisingly, of course, customer service is a common thread in my career. Aspects of hospitality is being able to connect, to facilitate but mainly to make someone feel genuinely welcome. My intuition is my greatest asset to be able to put myself in the shoes of a guest. A customer is my guest.

Fed by various senses, an image forms around the client. I listen to what is being said, watch facial expressions, taste the underlying tone and get a feel for the challenge to be addressed. An image literally forms on my retina. I have to be able to see it. If I can see it, I can create it.

In this, the trick is to pursue simplicity, give the client a warm feeling that the problem is understood, receive good advice, facilitated and carefully guided to the solution. Trust, connect and unburden.

The feeling when a guest arrives at your hotel after a long tiring journey, can sit in front of the fireplace, be handed a good glass of wine and stare carefree at the fire. My guest knows it will be okay.

How can I help you? That’s pretty much the first question I ask when talking to people who are curious about our services. In such a conversation, the use of senses is very important. Because not everyone is the same. One person thinks in images, while for another words are important or how something feels. For me, sight and hearing are the most beautiful senses, because both eyes and ears absorb information and can convey or process emotions.

Why hearing? Because listening is essential in contact. And it’s the key to unlocking valuable insights.

I developed this skill early on. As a child, I enjoyed radio plays on the radio, bringing the stories to life in my head.

Recognizing and automating patterns. Tasks we are constantly working on when implementing our robots at Pegamento. My 2 Drentsche Patrijshonden are hunting dogs and certainly not robots. The hunting instinct and intuition is basically in their genes. Continuing to offer new forms of training has taught them to recognize and act independently in hunting situations. Even “unsupervised,” even if I’m not around.

But when you try to teach a brain something, it also starts to see things you don’t expect. Dogs pick up on the slightest deviation in your voice or directions. To start recognizing that and correcting it again is perhaps the most complex challenge. But in our work, for the wonderful clients for whom we get to work, it often yields the most beautiful new insights!

Feeling. That’s the best thing Pegamento stands for. Feeling for technology in the broadest sense of the word. Not only feeling for the exciting stuff like AI, but also for the basics of communication.

The very best part of my job is selling, listening, translating and thinking about what really matters. We bring the digital transformation with a great team!
The diversity of our team, how sharp we are, but especially the wonderful things we get to make makes me feel extremely good. Hence, I intuitively chose the sense of “feeling.

Feeling gives life and differentiation!
